Opportunities and Deals
Deals represent sales opportunities, pipeline status, values, probabilities and next steps.
Where to find it
Open CRM → Deals; pipelines, status values and lost reasons are under Administration → Pipelines, Administration → Deal Statuses and Administration → Lost reasons.
Requirements and permissions
opportunities.read allows the overview, opportunities.write allows the editing and settings.manage allows managing pipelines, statuses and lost reasons.
Step by step
Manage deals
- Open Deals and choose New Deal.
- Choose an object as well as a lead or customer.
- With several pipelines, choose the pipeline first, then one of its stages, and optionally the responsible person.
- Add date, price, probability of winning, next follow-up, next step and notes.
- Save the deal.
From the form, linked contacts and objects can be opened. If the object and contact are complete and an email address is available, exposé communication can also be offered.
Manage the pipeline
Switch between table and pipeline views. In the table, filter by pipeline, status, outcome (open, won, lost) or owner; the Outcome and Closed on columns show how and when a deal was closed. In the pipeline view, choose the pipeline at the top; the browser remembers your choice. Columns only show open stages with count, total and weighted value. The weighted value is the sum of value × win probability per deal; deals in different currencies are totalled separately. Cards marked Rotting have not been updated for longer than the stage allows.
Moving a card immediately changes the deal status, so check the confirmation afterwards. Drag a card onto Won or Lost below the columns to close the deal. When a deal is lost, a dialog asks for an active lost reason; without active lost reasons the deal is saved directly.

Manage deal status
- Open status management and filter by pipeline if needed.
- Create or edit a status with a name that is unique within its pipeline and an appropriate order.
- Choose the outcome type: Open for working stages, Won or Lost for closing stages.
- For open stages, optionally set after how many days without updates a deal is flagged as rotting.
- Check existing deals and evaluations after the change.

Manage pipelines and lost reasons
- Open Administration → Pipelines and create a pipeline or edit its name and order.
- Use the star to choose the default pipeline. The default pipeline cannot be deleted; a pipeline with stages can only be deleted after its stages were moved or deleted.
- Open Administration → Lost reasons, create reasons with an order and deactivate reasons that should no longer be offered.
Manage deal fields
- Open Administration → Deal fields and create additional fields with type, choices and required flag.
- The fields appear in the deal form under Additional fields. Required fields must be filled before saving.
- The deal form also links a shared organization; the list and the pipeline show it and can be filtered by it.
Manage products and line items
- Open Administration → Products and create or edit products with price, currency, tax rate and billing frequency.
- Products used in deals cannot be deleted; deactivate them instead.
- Open a saved deal and add products in the deal currency under Line items. Calculate value from products makes the deal take over the line item total when it is saved.
Result
Deals have a current status and clear next steps. Configured status values are available in forms and the pipeline.
Variations and special cases
Not every deal contains price or probability. Status changes through drag-and-drop are stored immediately. On touch devices, move deals with Move to on the card, including into won or lost stages.
Troubleshooting
Check permissions, required links, and the confirmation message. Reload the pipeline if a card does not appear updated after moving it.
