Limit problems quickly

Start from the visible behaviour and change only one thing per attempt. This keeps it clear whether access, permission, a record, an integration or background processing is responsible.

The first two minutes

  1. Save unsaved input and note the exact action.
  2. Check the product, visible host and selected workspace.
  3. Reload once. Do not repeat a paid, sending or deleting operation without checking its state.
  4. Determine whether one record, one user, one device or the entire area is affected.
  5. Record time with timezone, visible message, status code and request ID.

The following quick checks support initial classification. Each detailed article describes safe retries, required diagnostic details and business-specific cases.

Access, tenant and navigation

A 401 usually points to missing or expired authentication. A 403 normally means that the identity is known but product, tenant, capability or permission denies access. A 404 can also mean that a record is intentionally invisible in the current tenant.

Saving, loading and concurrent changes

  • Check required fields, formats, dependent records and visible field errors.
  • Reload the record when a conflict or stale state is reported.
  • Check whether another user changed, moved or deleted the same record.
  • Do not repeat write operations in multiple tabs. This can create duplicate emails, tasks, bookings or imports.
  • For 429, do not start an automatic retry loop; observe the stated delay.
  • For 5xx, preserve request ID and time and inspect the current state before retrying.

Email and account connections

  1. Open Profile → Mail accounts and check status and latest synchronisation.
  2. Verify that OAuth access, app password or IMAP/SMTP credentials are still valid with the provider.
  3. Check folder or placement mapping, sender, recipient format and attachment size.
  4. Inspect drafts, outbox and sent folder before sending again.
  5. For delayed synchronisation, provide the time and affected folder rather than exporting the entire mailbox.

Common causes include expired provider grants, changed passwords, removed folders, provider limits, background synchronisation that is still running or missing write access to a shared mailbox.

Calendar and meetings

  • Check timezone, start and end, recurrence, participants and the connected calendar account.
  • For missing invitations, inspect recipient address, sending state and spam filter.
  • For online meetings, check lobby, invitation and appointment state together.
  • Camera and microphone require browser and operating-system permission. Also check whether another application is using the device.
  • A guest link may have expired, been revoked or belong to a different appointment.

Messenger, inbox and real time

  • Check thread membership and read permission.
  • Reload once when new messages, presence or reactions do not appear.
  • Inspect network filters, VPN or proxy when normal requests work but real-time updates do not.
  • For external inbox messages, also check provider account, conversation state and record link.
  • For attachments, compare file type, size and successful upload.

Telephony and audio

  1. Check the verified phone number, default number and tenant telephony configuration.
  2. Allow microphone and, where required, speakers in the browser and operating system.
  3. Check input/output device and mute state.
  4. Inspect participant, session and recording-consent state before repeating a call.
  5. Give support call type, time, internal accounts involved and session ID, but no conversation content.

Tasks, tickets and projects

  • Check assignee, due date, completion state and linked record.
  • For tickets, also inspect project membership, status transition, type, priority and required fields.
  • Wiki, milestones, time entries, attachments, observers and relations each have their own state or permissions.
  • Saved queries can contain outdated filters. Test an unfiltered list without immediately overwriting the saved query.

Files, previews and shares

  • Check private or team scope, folder, file version, recycle bin and write permission.
  • For large uploads, wait for confirmed completion before leaving the page.
  • A missing preview does not necessarily mean that download is unavailable. Check file type and processing state separately.
  • For guest shares, inspect token, expiry, revocation and password protection.
  • Provide filename, size, type and time; send confidential source files only through an explicitly agreed protected channel.

Password safe

  • Check selected safe, local unlock state, membership, role and group access.
  • Team safes require prepared administrators and complete key distribution.
  • For imports, check format and KDBX version. Unencrypted CSV exports are not a diagnostic tool.
  • Do not repeat rotation, export or share migration until the prior state is understood.

CRM and real estate

  • For leads, customers and deals, check required links, duplicates, state and write permission.
  • For imports, capture run state, failing module and external record mapping.
  • For properties, inspect state, required fields, image processing and document processing separately.
  • For portals, also check credentials, field mapping, publication state and latest response.
  • Brochure shares require a valid token and the correct consent and brokerage-agreement state.
  • In the brokerage log, treat mandate, party, event, evidence, cost rule, report and audit export as separate states.
  • Check active context, selected records, file processing and visible sources.
  • A proposed action has not changed anything yet. Review target, fields and permission before confirmation.
  • For a missing answer, check run state, network and licence allowance.
  • Do not multiply sensitive content by pasting it into repeated new sessions.

Billing and licences

  • Check organisation, product, plan, allowance and subscription state.
  • For payments, inspect portal state and processed Stripe callback; do not pay repeatedly.
  • For invoices, check document type, period, invoice state and available PDF/XML action.
  • Licence changes can take effect on a date or billing period. Read confirmation and effective date separately.

Mobile apps

  • Check app version, operating system, active workspace, network and latest sync time.
  • For push issues, include the Inside setting, operating-system permission, focus mode and device token.
  • Offline data may be stale. Repeat critical changes only after confirmed synchronisation.
  • When a deep link fails, navigate manually to the module and check record and permission.
